Semester closing spring 2023

Residence Halls

The 2023 Spring semester will end on Friday May 5, 2023 at 6pm in Suites on Main, Campus View, and Valley View. Residents will need to vacate their rooms within 24-hours after their last final or by 6pm on Friday May 5 (whichever comes first). Due to academic obligations or travel constraints, if you need to stay later than 6pm on Friday May 5, please complete the late stay form. Residents will not be able to stay past 6pm without prior permission and key access will be turned off.

Upperclassmen who will be residing in University housing for the 2023 – 2024 academic year will be able to move into their new housing assignments tentatively on Saturday August 19, beginning at 10am.

24-hour Quiet Hours
24-hour quiet hours will be in effect from Friday, April 28 at 11:59pm until Friday, May 5 at 6pm. Please respect your fellow residents who are studying.

Move-Out
There are a limited number of carts for each building. Please bring boxes and/dollies to assist with your move-out. Please try to be quiet as you move out as others will still be prepping for finals.

Preparing your room properly for move-out to avoid charges
1. Close and lock your windows.
2. Leave your drapes/window coverings open.
3. Remove all items from your room and doors.
4. Gather and empty all trash. Make sure your room is swept and cleaned.
5. Turn your heat/AC to 70 degrees on the cool setting.
6. Turn off lights (last person to leave).
7. Lock room door (and bedroom door if in a Suite).
8. Complete sign-out sheet on suite main door
9. RETURN YOUR HARD KEYS TO THE FRONT DESK. TAKE AN ENVELOPE PROVIDED AT THE DESK AND PUT YOUR FULL NAME AND ROOM NUMBER ON IT, SEAL IT, AND PUT IT IN THE BOX PROVIDED (LABELED KEY DROP BOX). FAILURE TO RETURN KEY WILL RESULT IN A RECORE CHARGE.

A staff member will check your room for damages after you leave and you will be emailed by the end of May 2023, to your PennWest email if any charges were assessed.

Failure to comply with these instructions will result in documentation. You and/or your roommate will be considered in violation of the University conduct code if any residence hall/university policy violations are found in your room.

Reinhard Villages CLOsing information

The 2023 Spring semester will end on Friday May 5, 2022 at 6pm at Reinhard Villages. Residents will need to vacate their rooms within 24-hours after their last final or by the end of the day on Friday May 5. You can move out throughout the evening but should be moved out by the end of the day Friday unless you meet one of the exemptions.

Move out Exemptions:
1. Residents with a final Friday evening – Deadline to move out changes to Saturday, May 6th by noon – please complete the late stay form and list that you have a final Friday evening
2. Graduates – have until 6pm, Saturday, May 6th – please complete the late stay form. We are not provided with a list of graduates).
3. Those helping with graduation – please complete the late stay form
4. Those approved to live here for the summer. No need to complete the late stay form.
5. Those approved to store their belongings will need to follow the storage protocol and must vacate by the end of the day Friday, May 5th.
6. Those participating in sports that need to stay late – please complete the late stay form.
7. Due to other academic obligations or travel constraints, if you need to stay past the end of the day Friday May 5, please complete the late stay housing form.

Residents will not be able to stay past the end of the day Friday without prior permission and key access will be turned off. If you find it impossible to leave the building by the time stated above, PLEASE COMPLETE THE LATE STAY HOUSING FORM

The form must be submitted to the RESIDENCE LIFE OFFICE in 218 BECHT HALL no later than Friday, April 28th by 4:00pm.

Mail
Please check your mailbox and retrieve any packages you have there before 6:00 p.m. on May 5. Packages and important mail that has not been retrieved will be returned to sender. Please complete a change of address form with the post office to have your mail forwarded. The form can be found on the USPS.com website – search for Change of Address and it will take you to the online form to complete. We do not have the staff to forward your mail over the summer.

4. Gather and empty all trash. Make sure your room is swept and cleaned. Rooms that are left dirty and with trash in them will be charged for cleaning and garbage. (If in common areas – the entire apartment is charged, if in private bedrooms – just that resident is charged).
5. IF ANY FOOD IS LEFT IN THE FRIDGE, FREEZER, OR CUPBOARDS, the ENTIRE apartment will be charged appropriately. Currently, the $200 charge will be split between the number of residents living in that apartment.
6. There will be a non-perishable food donation box located in the Reinhard Community Center if you wish to donate unopened non-perishable (boxed, canned, jars). Unfortunately, we cannot take perishable, opened, refrigerated, frozen, or fresh food.
7. Turn your AC to 70 degrees on the cool setting.
8. Turn off lights (last person to leave).
9. Lock bedroom and front door securely.
10. Return any hard keys to the lobby front desk and label an envelope with your name and room number. If the Office is closed, put it in the key drop box located by the office window (you will see the sign). DO NOT LEAVE KEYS IN YOUR APARTMENT.
11. Your apartment should be left in the manner you found it to avoid charges. Failure to do so will result in charges.

QUARANTINES and insolations in all campus housing 

If you test positive for COVID-19 while you are staying with us during the year, we will ask you to go home to isolate or will review your situation and make arrangements on-campus for you. Please know that on-campus isolation housing is limited.  If you have a roommate/suitemate, you will have to go home or relocate until your quarantine/isolation period is over. We understand there may be extenuating circumstances in which we will navigate and will address each situation individually.

If you have been exposed to COVID-19 and are not vaccinated, or if you have COVID symptoms and are waiting for test results, you will need to quarantine for the amount of days determined by Health Services/athletics staff.  If you have a roommate/suitemate, you will have to go home or relocate until your quarantine/isolation period is over.

In all cases of isolation/quarantine on campus, we will provide meal delivery and will be in touch to make moving arrangements.  Be prepared to have snacks in your room in case there a delay in meal delivery especially on the day we will be notified.


 Housing exemptions

There is a freshman and sophomore residency requirement in which students are required to live in university housing their freshman and sophomore year at Pennsylvania Western University.

Students are only exempt from university housing for the reasons listed below.  If you believe you qualify for an exemption from university housing, please, submit the Request for Exemption in your housing and dining portal at my.pennwest.edu.  It is advised, you do not sign an off campus lease before you have received approval to be exempt from housing.  Please, contact the Residence Life and Housing office with any questions. 

  • First time in college students or transfers who are living with a parent or guardian at their permanent address within a 30 mile radius of PennWest Clarion at 840 Wood Street, Clarion, PA 16214.  A notarized letter from a parent or guardian is required to verify commuting location. 

  • A full time transfer student with more than 48 credits from a previous institution. (credits transferred will be verified with the student record)
  • Married students (proof of marriage license is required for approval)

  • Students over the age of 21 prior to the start of the contract period (typically Fall unless admitted in Spring)

  • Parent of a dependent child (additional documentation required)

  • Taking all online courses. (schedule verification)
  • Military veterans who have been honorably discharged and can verify their status with an official DD214 form.

Dealing with Roommate Issues

Living with roommates isn't always easy. Sharing a living space may be stressful, and conflicts may arise. Sometimes situations that work at the beginning of the year become more difficult as the year goes on; remember that college is a time when students grow and change which can certainly impact even the healthiest of roommate relationships.
